Parallel runs

You may wish to conduct a number of parallel runs to ensure your company has been correctly set-up in paiyroll®.

Important

Specify GB parallel runs by using a blank username and password for any reports that may submit data (GB RTI FPS and EPS). This ensures no accidental submission as well as deferring RTI PayId changes to the first live run in paiyroll®

GB RTI PayIds are imported for workers during your initial import using data from your original payroll system. However when you add new workers during a parallel run to both systems, their new RTI PayId will not exist in paiyroll®. Most systems systems send a PayId which may be a synthesised number or your works ID. You must therefore determine the RTI PayId submitted in the original system and then ensure that any new workers in paiyroll® are added with their RTI PayId. If you can’t add them initially, you must add them before you go live.

Before payroll commences export and save all the Required files into a folder as described in the respective migration guide.

During payroll record all changes made as these will need to be repeated in paiyroll® e.g.:

  1. New starters

  2. Leavers

  3. Pay changes (Pay adjustments, Advance, Holiday pay, Refunds, SMP etc.)

  4. Other changes

  5. Data feed Shift or worker files

  6. Upload files

After payroll is approved export and save the following Other files:

  1. Weekly and/or Monthly payslips pdfs

  2. BACS (the actual file that is uploaded to the bank)

  3. Pension contribution and member enrolment schedules (actual files that are uploaded to the pension provider)

Alternatively, you can compare the files as follows:

  1. Read the reference file into a reference sheet in a spreadsheet program

  2. Read the paiyroll® file a actual sheet

  3. Using a 3rd sheet compare [difference] the values using subtraction or ‘IF’ formula

Another option is to copy/paste the data into columns on the same sheet with a difference column between.

Only enter credentials when everything is ready and you wish to start live submissions.
